From spreadsheets to smart workflows at DRTC
De Ruiter Training & Consultancy (DRTC) is an international training institute with locations in Groningen, Vlissingen and Curaçao. The company provides maritime and industrial training for professionals working offshore, in the wind industry or at sea.
“We deliver training focused on safety, medical care and emergency response. In short, we make sure people are prepared for anything that can happen at sea,” says Mick Kraeima, QHSE Manager and Site Manager at DRTC. The company employs around sixty people and holds about seventy accreditations from various authorities. DRTC is ISO 9001 certified and is preparing for ISO 14001 and ISO 27001 certification.
The challenge
Before implementing Bizzmine, most processes at DRTC were handled
through Excel files and scattered forms. “Everything was becoming more
professional, but we still worked with spreadsheets that had to be
downloaded, filled in and scanned. It was a huge amount of work that could
easily be automated.” As the organisation grew, so did the need for structure, overview and scalability. “We wanted to move away from the fragmented Excel-based approach and make our processes work together more efficiently, while automating where possible.”
The solution
When comparing different platforms, DRTC chose Bizzmine. “What mattered
to me was the ability to think ahead. We could explore different growth
scenarios and understand how the system would continue to fit our
organisation. Bizzmine allows us to scale without constantly adding extra
costs.” Flexibility was another key factor. “If you know your way around the back end, you can build what you need yourself. You don’t have to depend on a supplier for every change. That makes it both sustainable and scalable.”
Mick also highlights the positive implementation experience. “The support

sure the solution fit our needs.”
The results
Since switching to Bizzmine, DRTC’s way of working has fundamentally
changed. The registration and follow-up of accreditations is now fully automated. “In the past, we had one spreadsheet showing when something was accredited, another folder with audit findings and another with actions. Now everything is in Bizzmine, with workflows, automatic notifications and visual dashboards. What used to take 200 clicks now takes four.”
Maintenance, document control and staff records are also managed in
Bizzmine. “Everyone sees the same dashboard and knows what needs to be
done. During inspections, we can present all the relevant information in just
a few clicks.”
The time savings are significant. “I prepared the entire ISO 9001 audit in six
hours, and we had zero nonconformities and zero observations. That’s quite
extraordinary — before, it used to take weeks.”

Advice for other organisations
According to Mick, the success of an implementation depends as much on
people as it does on the system. “Make sure you study everything available
on the helpdesk and learn the system as if you were preparing for an exam.
Build a team of people who are curious, take initiative and enjoy thinking
about improvements.”
He emphasises the importance of engagement. “Organise sessions and
create ownership. In the end, management needs to set the example —
otherwise, you can put in a lot of effort without real progress.”
Looking ahead
In the coming years, DRTC plans to continue its digital transformation and
system integration. “We are still working on connecting our Office 365
environment and are exploring how to use Bizzmine’s AI features. That will
save us even more time.”
